Social gathering/private function

Use this form to book a park for social gatherings and private functions for more than 50 people OR if you intend to take ANY infrastructure other than table and chairs and a small marquee into the park (examples of infrastructure include inflatable equipment, jumping castles, animal related or amusement activities, marquees larger than 3mx3m). Note: If your booking relates to Broadwater Parklands, use our separate form for booking this park. Broadwater Parklands offer exclusive use areas (fees apply).

The Rotary Education Pavilion is now available to book for educational activities only (no private social functions). To book select "Rotary Pavilion(Gold Coast Regional Botanic Gardens)" from the drop down menu on the booking form.

No booking is required if your gathering is a group of 50 or less people utilising the facilities in the park and no infrastructure is being taken into the park.

A booking is required IF your gathering has more than 50 people OR if you intend to take ANY infrastructure (see below) into the park. If you are unsure if your equipment is classed as infrastructure or have any further questions please ring our experienced and friendly staff on 07 55816984 for more information.

Infrastructure = equipment other than table and chairs and 3mx3m pop up marquee – e.g. inflatable amusements, jumping castle, animal related or amusement activities.

All booking applications that fall into the ‘booking required’ category will incur a $103 application fee to process the application. Once your application has been received we will assess your needs. If the park is unavailable or further information is required we will contact you. Once your application is accepted you will receive a request for payment via email. Your booking will not be approved until payment is received. The City will not book any other gatherings/functions that coincide with your booking.

Note: Events and gatherings that have infrastructure or over 50 attendees that do not have a booking, or are in breach of any of the Terms and Conditions for use of City of Gold Coast controlled parklands, may be penalised by Council Local Law officers under Local Law No. 9 (Parks and Reserves) 2008.

Please read the enclosed Terms and Conditions prior to completing the application form to ensure the correct form is being submitted, all appropriate information is provided and you are aware of any bonds, permits and/or conditions that may apply to your usage. All details must be completed for the application to be processed.

  • A minimum of ten (10) working days is required for processing all park usage applications.

Botanic Gardens Rotary Education Pavilion can only be booked for educational functions, not for parties or social gatherings.

  • Under no circumstances are power outlets at a park to be used for anything other than a kettle, phone charger or general household appliance. Jumping castles or food and beverage appliances are strictly prohibited for use with power outlets.
  • Operators of amusements or entertainment activities must have adequate public liability insurance.

By checking this box and submitting this form, you certify that the information provided is complete and accurate to the best of your knowledge. You acknowledge and agree to abide by the terms and conditions enclosed with this form. In doing so, it is acknowledged that Council of the City of Gold Coast's decision in regard to the use of the facility is final, and failure to abide by these conditions may lead to the cancellation of the approval, the denial of future permit applications or other legal action.
